Tip Tuesday: How to Interview a Wedding Planner?

We have had the privilege of meeting with many potential 2014 clients over the last couple weeks and while some come loaded with questions and requests for information, others don't know where to start when interviewing a potential wedding planner. Because wedding planners all have different set ups (some are part of a firm, some are independent contractors, others are moonlighters who take on a select number of clients while still working a traditional 9-5). Today we want to give you some questions that we recommend asking when interviewing a potential wedding planner and for good measure, we included our own responses to these questions.

Why should I hire a wedding planner?

For many couples, it is their very first time planning a wedding. They are unsure as to where to begin, how much everything costs, and how to choose vendors. Planning a wedding is not only about choosing your colors, flowers, and menu. There are logistical factors to attend to such as the timing of events, venue maximization and layouts, and knowing which vendors are reputable. We are here to guide you and to take care of all of these concerns. We are able to help save you time and money so that you can feel like the guests of honor on your wedding day!

Do you have a business license? Do you have liability insurance?

Yes, Kai Squared Events holds a business license in the State of California. We have general liability insurance for $1 million.

What types of weddings do you accommodate?

All – Civil, Destination, Elopements, Eco-Friendly / Green, LGBTQ, Military

Do you support or cater to any specific religions?

We cater to all religions.

What wedding planning services do you offer?

Specialized Planning & Coordination, Full Service, and consulting or A la Carte services.

Do you accept commissions or kickbacks from any vendors?

No. We do not accept any commissions or kickbacks from vendors and will only refer qualified, reputable vendors who will best suit your needs, style, and budget.

Do you charge for an initial consultation?

Our initial consultations are complimentary and give us the opportunity to get to know each other to see if we’re a good fit for your wedding planning process.

Do you charge an hourly rate, a flat rate or a percentage of my overall wedding budget? What is the deposit to secure your services?

We charge a flat rate for your customized wedding planning service. In most cases, a retainer of 25% is required to secure our services. A fee schedule will be tailored to your needs prior to signing a contract.

What sizes of weddings have you coordinated in the past?

We have the resources and equipment to plan and produce events as intimate as 10 guests or as large as 500 guests.

What additional types of events do you service?

Our experience extends to all types of celebrations including anniversaries, baby showers and bridal showers, birthdays, corporate events, engagement parties, graduations, holiday parties, Proms, and Sweet 16s

How much communication will we have?

Your Consultant will be available from 8:00 am to 9:00 pm 7 days a week for scheduled meetings and phone calls. We will respond to all emails and phone messages within 24 business hours.

How many weddings or events will you coordinate per day?

Kai Squared Events will only take one wedding or event per day.

Will you be at my actual wedding day?

Absolutely! Your individual consultant will be your primary point of contact during the planning process and will be on-site to provide coordination.

How many assistants will you have on my wedding day?

Each event will have a minimum of one Consultant and at least two assistants will be at your wedding. We will have more assistants should you have multiple locations, a large wedding party, and/or a large guest count.

How do you dress for our event?

For weddings, all consultants and assistants will wear professional attire appropriate to our event.

Will you eat and drink during the reception and how comfortable will you make yourself?

Since weddings can turn into 10, 12, and even 14 hour days, vendor meals during your reception are much appreciated. However, we are there to do a job and will absolutely not drink any alcohol or join your guests on the dance floor.
